This Privacy Policy describes how the Ellerslie Volunteer Fire Department (“EVFD,” “we,” or “us”) collects, uses, and protects information you provide through the EVFD Raffles online platform at this website. EVFD is a Maryland volunteer fire company operating charitable raffles under Maryland law. This platform is used solely to sell raffle tickets and communicate with participants about those raffles.
Information We Collect
- Account information: name, email address, phone number, and mailing address provided when you create an account or complete checkout.
- Purchase history: records of raffle ticket orders including raffle name, quantity, and order status.
- Account credentials: passwords are stored as secure, one-way cryptographic hashes; we never store or transmit passwords in plaintext.
- SMS consent: if you opt in to text message updates, we record your consent status and the timestamp at which consent was given.
- Payment information: payment card details are collected and processed exclusively by Shift4, Inc. on Shift4’s PCI-compliant hosted payment page. EVFD Raffles never receives, transmits, or stores payment card numbers, CVV codes, or cardholder data. See the Payment Processing section below.
How We Use Your Information
- Process raffle ticket orders and send order confirmations.
- Notify winners and coordinate prize pickup.
- Send transactional email messages related to your account or orders.
- Send SMS messages when you have provided explicit consent.
- Comply with Maryland charitable gaming record-keeping requirements.
- Respond to support inquiries and prevent fraud.
Payment Processing
All payment card transactions are processed securely by Shift4, Inc. through a Shift4-hosted payment page. EVFD Raffles has zero PCI scope for cardholder data—we do not receive, store, or transmit credit card numbers or related payment details at any point in the checkout process. SMS Privacy Statement
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except as necessary with service providers who assist in delivering the requested messages (such as AWS SNS). Sharing and Service Providers
We share information only as strictly necessary to operate this service:
- AWS SES — transactional email delivery.
- AWS SNS — SMS message delivery (when you have opted in).
- Shift4, Inc. — secure payment processing.
We do not sell, rent, or trade personal data to any third party. We do not use personal data for advertising or affiliate marketing.
Security and Data Retention
We maintain administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold. Your data is retained for as long as your account is active or as required by applicable law. Maryland charitable gaming statutes may impose minimum record-retention periods for raffle records.
Your Rights and Choices
- You may request access to, correction of, or deletion of your personal data by contacting us at the address below.
- You may opt out of SMS messages at any time by replying STOP to any message or by updating your preferences in your account settings.
- You may opt out of marketing email by using the unsubscribe link in any marketing email or via your account notification settings.
Children’s Privacy
This site is intended for adults only. Participation in EVFD raffles requires users to be at least 18 years of age (or the minimum age displayed on the site). We do not knowingly collect personal information from minors. If you believe a minor has created an account, please contact us immediately.
Charitable Purpose
EVFD is organized under Maryland law as a volunteer fire company. All raffle proceeds support EVFD’s public safety mission, including equipment purchases, firefighter training, and community safety programs.
